Job Description
About CBRE and Experience Services:
CBRE is the world's largest commercial real estate services firm. Experience by Industrious is CBRE’s global hospitality business that partners with leading companies and landlords to design and operate workplaces people love coming to. We treat the daily experience of work as a product worth obsessing over, and we build our teams with people who feel the same way.
The Associate, Workplace Operations owns day-to-day operational follow-through across a cluster of small offices across San Francisco. Working in tandem with the Workplace Business Partner, this role keeps spaces ready, coordinates service delivery and provides practical guidance to workplace peers. Strong judgment and dependable execution enable the manager to focus on portfolio priorities, workplace planning, stakeholder relationships, and larger projects. You won’t just remove friction; you’ll instill a workplace experience that’s seamless in the smoothest of ways while understanding the expressed and unspoken needs of your community. An excellent candidate will have an ownership mindset and experience-driven process orientation. This position reports to the Workplace Experience Manager and is on site Monday through Friday. It is an individual-contributor role with peer-mentoring responsibilities and no direct reports.
Key Responsibilities
Daily Workplace Operations and Hospitality
Conduct routine site walks and coordinate corrective action for workstations, meeting rooms, furniture, lighting, cleaning, and supplies. Maintain functional, organized, welcoming spaces and verify that reported issues are resolved.
Provide employee and guest support, including visitor and vendor check-in and escorting under site access procedures. Support client and employee events, philanthropy, and sustainability activities with setup, troubleshooting, materials, badges, and lanyards as needed.
Request Management and Operational Visibility
Own requests across Jira, Slack, and workplace systems from intake and triage through assignment, follow-up, and confirmed closure. Track the requester, responsible team, priority, due date, and status for needs including seating, room and workspace reservations, access, and meal-delivery support.
Prioritize by urgency and operational impact, keep employees informed, and give the manager clear visibility into outstanding work and decisions needed. Resolve routine issues within agreed authority; promptly escalate safety or security concerns, service disruptions, conflicting priorities, and budget, policy, or scope decisions to the appropriate owner and manager.
Vendor, Building Management, and Onsite Work
Coordinate building management, movers, catering, janitorial, and facilities providers, confirming responsibilities, schedules, access, certificates of insurance, required documentation, loading dock reservations, deliveries, and installations.
Coordinate approved weekend or after-hours work and communicate the plan, access arrangements, and expected workplace impacts. Verify completion and service quality against the agreed scope, document outstanding items, and follow through with providers until closeout.
Openings, Moves, and Space Improvements
Support readiness for openings, moves, and space improvements, coordinating seating, equipment, signage, access, and punch lists. Partner with IT, Security, Workplace, and Design and Construction to track dependencies and milestones, flag blockers early, and route decisions or changes beyond the approved plan to the manager.
Peer Guidance and Operational Coverage
Translate manager-set priorities into clear daily work plans, helping peers coordinate assignments, workloads, and coverage. Provide practical guidance, model service standards, and help colleagues recognize when to escalate; formal people-management decisions remain with the manager.
Provide dependable hands-on backup during PTO, absences, leadership travel, and peak periods. Maintain clear handoffs so daily operations continue within established priorities and escalation guidelines.
Procedures, Purchasing, and Records
Document and improve site procedures, service expectations, request-routing workflows, onboarding guides, and coverage resources. Use recurring issues and frontline feedback to clarify ownership, reduce avoidable handoffs, and train peers on consistent practices.
Coordinate supply replenishment and routine or urgent purchase requests through established procurement processes, confirming the requester, owning team, resources, and required approvals before commitment. Maintain purchasing, vendor, and operational records in accordance with company policies.
