POSITION SUMMARY:   
The California Academy of Sciences is looking for an Accountant to be a key member of the Accounting team. We are seeking a team member who is ready to learn, grow, and contribute to our organization. You will participate in various areas of the accounting process including accounts receivable, month-end close, regulatory filings, and financial statement reporting.

ESSENTIAL DUTIES AND FUNCTIONS:

Close process

  • Record journal entries timely and prepare supporting schedules to ensure a documented audit trail for all journal entries.
  • Analyze financial statement line items to include variances as compared to budget and trend.

Account Reconciliations

  • Prepare monthly balance sheet reconciliations and flux analyses, and ensure that any reconciling items are resolved or cleared timely.

Billing/collections

  • Provide customers with accurate and timely invoices, statements, and schedules.
  • Respond effectively to customer inquiries in a timely fashion. Communicate all issues and/or disputes to their supervisor and operating departments.
  • Maintain an efficient collection process to include an organized filing and tracing system, issue dunning letters, monitor returned checks and chargebacks, perform collection calls, and prepare bad debt write-offs.
  • Ensure proper internal control by monitoring the AR subsidiary ledger, advance deposit ledger, and any other related subsidiary ledgers.

Cash Application

  • Process incoming check and ACH payments from AR customers and prepare daily check deposits.
  • Verify and balance both checks and credit card deposit totals.
  • Apply both check and credit card payments to AR customer’s accounts in accordance with the customer’s remittance advice.
  • Process AR adjustment requests and update unapplied payment list accordingly.

Projects

  • Assist in the review and streamlining of necessary internal controls and processes.
  • Participate in the documentation of accounting process narratives.

Audit support

  • Prepare working papers to include supporting documentation for audit support.

Other

  • Assist in processing payroll
  • Assist procurement team with vendor set up
  • Develop working relationships with fellow team members and business partners and serve as first point of contact for business partners.
  • Attend to ad-hoc requests
  • Work required overtime during the close process, as well as to meet project deadlines.
  • Follow all Academy safety regulations
  • Other duties as assigned 

MINIMUM QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:
A qualified candidate will have a combination of the following experience and/or equivalent education:

  • Degree in Business with a concentration in Accounting, working toward passing the CPA exam
  • 2+ years of relevant accounting experience 

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of Excel
  • Excellent verbal and written communications: able to deal with staff, management, and outside contacts in a cooperative and professional manner, both in person and on the telephone
  • Intermediate knowledge of Generally Accepted Accounting Principles (GAAP)
  • Must work effectively in a team environment 

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups or individuals.  Bilingual (spoken and/or written) in Spanish, Cantonese, Mandarin, or other non-English language preferred.
